- Make sure you have all the relevant information.
- Use as few words as possible.
- When replying, make sure you answer all questions.
- If your e-amil is important, write it, save it, edit it and then send it.
Who's it for?
- Your style should reflect your relationship with the person you are writing to.
- Not all e-amils are informal.
- Don't waste the reader's time.
- Be as polite as you would be in face-to-face communication.
- Avoid being over-direct.
Clarity is the key
- Use a relevant subject line.
- Give a clear opening which explains why you are writing.
- Use paragraphs, bullet points and numbers to create a logical flow of information.
- Have a conclusion which clearly states any further action required.
- Don't mix long forms and short forms in the same e-mail.
It's on record
- E-mails paint a picture of you and your company.
- Aim for accurate spelling, grammar and punctuation.
- Your are not in control of who sees your e-mail, it can be copied, forwarded or printed out.
- Decide whether all aspects of your e-mail are appropriate for whoever might read it.
